Only PAY THIS gets keyed — never the ⚖ flex number
Pay = base − unpaid leave. Flex is a separate running bank that evens out over time. The ⚖ figures on the Payroll and Flex tabs are informational; the one number you type into QuickBooks is PAY THIS.
Why do wrong entries say “undo,” not “delete”?
Approved entries are never deleted — the 4-year record must stay intact. The undo button voids the entry (append-only), which also frees that day so you can re-record the correct value.
Why did “already recorded” appear when I recorded leave?
There can be only one deduction per teacher per day. If a day already has a day-off / leave / short-flex entry, a second one for the same day is skipped and reported — never silently double-counted. A genuinely failed save shows a different “not recorded” message so a dropped day is never hidden.
Why didn’t a future-dated entry move the balance?
Balances are counted as of today, so a flex entry dated ahead won’t move the number until that day arrives. A future day-off , by contrast, will show in that future period’s pay total. Nothing before July 1, 2026 banks — that’s the flex start date.
Why does a departed teacher still show up?
A mid-period leaver still appears on Payroll for her final pay, and stays on Flex until her balance is zero (settle-only). Deactivating records her last day so future periods stop paying her — always confirm that date is right.
